This time, I will not be setting an official reveals date until the pinch hit is claimed, although I will say it will be no sooner than April 27th and will be announced ahead of time in case anyone wants to do final edits or redate to match reveals.

Sign-ups are officially open!

As some have already noticed, your humble mod mistakenly forgot to mark freeforms as a required field. AO3 does not allow changes to these settings once sign-ups have been submitted without deleting them all to start over.

With the nature of this exchange, I don't want to make freeforms optional. Please add freeforms to all requests and offers before the close of the sign-up period. Matching will still be based on freeforms. I will reach out twenty-four hours before sign-ups close to anyone who has not done so to remind them. Once sign-ups are closed, any requests that are still missing freeforms will be handled on a case-by-case basis.

Rules and Frequently Asked Questions

You must be at least 18 years old to participate. The aim of this exchange is to create gifts that the recipients will enjoy. If you break the rules above or are found to be participating in bad faith (e.g. signing up with more than two accounts; acting spitefully toward the mod or other participants), you will be banned from participation.

Nominations/Eligibility:

The tagset will be available on AO3. An AO3 account is required.

Each participant may nominate up to 20 fandoms per account with 1-20 characters/relationships in each, plus 20 freeforms.

RPF is eligible. All RPF nominations must be composed only of people who are 18+ and famous in their own right. Mods reserve the right to reject nominations as needed.

Original Work is eligible. Please nominate under "Original Work" and remember to specify the characters' genders if that matters to you. If you don't, you won't be able to DNW specific combinations in your signup.

Crossover Fandom is eligible. Please nominate under "Crossover Fandom."

Creator's Choice of Fandom and Any Fandom I've Requested Before are allowed. You may DNW up to five fandoms for each, including umbrella fandoms like Marvel, but you may not DNW a fandom category such as "books." (RPF and unreality fandoms are the exception!)

If you run out of nomination slots, feel free to use a second account to nominate.

Characters and Relationships:

Characters and relationships will all be nominated in the Relationship slots.

Please disambiguate your nominations. For fandoms with sub-fandoms, it's your choice whether to nominate for the umbrella fandom or a sub-fandom. AMT fandoms are permitted, but be sure you would be okay receiving any media type.

Single characters will be nominated in the format "Solo: Character Name. Ex: Solo: Geralt of Rivia (Witcher TV)

Romantic/sexual relationships will be nominated in the format "Character 1/Character 2." Ex: Amilyn Holdo/Leia Organa (Star Wars). Please alphabetize the ship by family name or first name if they do not have one.

Gen relationships will be nominated in the format "Character 1 & Character 2. Ex: Brienne of Tarth & Sansa Stark (ASOIAF). As above, please alphabetize by family name first.

Crossover relationships are nominated under "Crossover Fandom" with the fandom name for each character in parentheses. Ex:Bruce Wayne (DCEU)/Tony Stark (MCU). Solo characters are permitted as long as the crossover is obvious. Ex: Solo: Sephiroth (FFVII) in Tangled universe.

Original characters with non-original characters can be nominated in / or & pairings. Ex: Luke Skywalker & Original Male Character (Star Wars) or Harley Quinn/Original Female Characters (DCC). These should still be nominated under the non-original character's fandom.

Freeforms:

All freeforms must be related to hair in some way.

Our goal is to keep the freeform tagset relatively small and manageable. This means that we rely on more general tags while adding nuance in the optional details. For example, "Hair Care for Someone Who Can’t Do Their Own" could cover a character who is sick, injured, restrained, unconscious, or for whatever other reason can’t do their own hair.

To make the tagset easier to navigate, we ask that most freeforms be nominated with a prefix, like "Accessories: Ribbons". Last year, we used "Accessories", "Admiring", "As Culture, AU", "Body Hair", "Braiding", "Brushing", "Change in Hair", "Discrimination", "Disguise", "Facial Hair", "First Time", "Hair Care", "Hair Dye", "Hair Loss", "Hair Pulling", "Hair Removal", "Haircuts", "Made of" (as in made of flowers, made of smoke, etc), "Magic", "Messy Hair", "Mood", "Playing with Hair", "Pubic Hair", "Shaving", "Species Differences", "Washing Hair", and "Wigs". If there isn’t a prefix that makes sense for your freeform, you are welcome to nominate it without a prefix.

You can nominate fandom-specific freeforms; prefix them with the name (or a shortened version of the name) of your fandom. For example, "One Piece: Human lets Mink character play with their hair".

Anything you consider essential to your nomination must be in the tag itself or it cannot be enforced

Signups:

Signups will be here. An AO3 account is required.

A minimum of 3 requests is required. You may make only one offer, but please keep an eye on requests to make sure there is someone you can create for!

You can request 1-20 ships per request slot with 1 fandom, 1-2 media, and 1-20 freeforms. Fandoms don't have to be unique (i.e. you can make more than one request per fandom), but if you request fewer than 3 distinct fandoms, we may not be able to guarantee a gift for you.

If you request multiple character/ships in one slot, you must make sure all freeforms in that slot apply to all character/ships.

Requesting “Any” relationship means requesting any character or relationship for that fandom in the tagset, not in the canon.

You can request 20 additional freeforms in the "optional tags" field, but bear in mind, these must be freeforms pasted directly from the tagset. Do not just select tags that pop up.

This is somewhat experimental and conventional wisdom says perhaps only the first 20 listed will actually work with matching - if you want to be sure that matching will see your tag, put it in the Additional Tags field, not here!

If no offers match your requests, your requests will go out for claiming as an initial pinch hit.

If no requests match your offers, the mod will contact you to see if there is anything else you can offer. If you do not reply within 24 hours, or there is nothing else you can offer, your signup will be deleted.

Dear Creator letters may be linked to in your signup in order to give your gifter further details on your likes and dislikes. These are optional.

Optional Details will be a required field. Please include anything you absolutely don't want to receive (Do Not Wants) in this box for each request. In the event that a DNW is included in your gift, only reasonable DNWs in your signup will be enforced. (Please bear in mind that DNWs cannot be used to box your creator into producing a very specific work.) Even though this is required for the sign-up, feel free to put "TBD" if you're still working on it or "No DNWs" if that's the case.

If your sign-up is a work in progress, keep in mind that once sign-ups are closed, you will not be able to make edits outside of an unmatchable situation.

Participants may sign up with a maximum of two accounts each. If you sign up with two accounts, please bear in mind you will be expected to produce at least one assigned work per signup. Please sock responsibly!

Participants who no-show defaulted on the previous year’s exchange (i.e. did not turn in a work or default before deadline) must post a full gift for any request in the exchange (excluding your own) before being permitted to participate in any further rounds. Mods will notify you if this is the case.

Assignments:

Assignments are only guaranteed to match on one fandom, one character/ship, one medium, and one freeform.

Minimum requirements are a complete work of 500 words or a piece of fanart at the 'nice sketch' stage. Art should be original work created entirely by you; icons, manips, moodboards, etc. cannot fulfill art requests.

Your assignment must focus on a requested character or ship and prominently feature a requested freeform, must be in a requested medium, and must abide by your recipient's Do Not Wants. Note: “Any” relationship refers to any character/relationship in that fandom in the tagset, not in the canon!

Please do not discuss the details of your assignment in public; creators should remain anonymous until creators are revealed. Do, however, feel free to discuss with a beta reader.

If your assignment does not match the characters/ships, freeforms or media you offered, contact the mod as soon as possible. It will not be possible to change assignments for any other reason.

If you have a question for your recipient, please email the mod at doty.mods.ex@gmail.com; in order to preserve anonymity, do not ask them directly!

Posting:

To post your fic on AO3: navigate to your AO3 dashboard, click on 'Assignments', find your The Mane Event assignment and click 'Fulfill'.

Works containing excessive spelling or grammar errors (enough to hinder comprehension) will not be accepted.

As works should remain anonymous during the collection's anonymous period, do not post your work elsewhere before creator reveals.

You can edit your work after posting it, but your gift must be complete enough to stand as it is by the deadline.

Saved drafts do not fulfill assignments. Please ensure that you post your gift!

The collection will be open for posting from the time signups are open.

Defaulting:

If you cannot finish your assignment, please default. To default: navigate to your AO3 dashboard, click 'Assignments', locate your The Mane Event assignment and click 'Default'.

If you default and your creator also defaults, you will not be assigned a pinch hitter and are not guaranteed a gift

There is no penalty for defaulting before the deadline.

If you have not posted a gift by the deadline, the mod will default you. You will need to post a full gift for any request in the exchange (excluding your own) before you will be permitted to participate in any further rounds

Pinch Hits:

Pinch hits will be posted to the Dreamwidth community the_mane_event.

Please reply to the pinch hit post to claim or email doty.mods.ex@gmail.com, including your AO3 username. If you are successful, the mod will contact you and officially assign the pinch hit to you through AO3. Comments are screened.

You can claim a pinch hit even if you aren't signed up for the exchange, but you will need an AO3 account.

Treats:

You can write additional gifts for other participants and post them to the exchange collection as treats. To do this, navigate to the collection and click 'Post to Collection'. You will need to manually add the name of your intended recipient - please check this carefully!

Treats for the exchange collection are permitted as long as they depict at least one freeform from the tagset. A recipient is not necessary for collection treats.

Treats do not have to fulfill the minimum word count or art minimum of a nice sketch. They must, however, include a character/relationship, freeform and medium requested by the recipient and adhere to their Do Not Wants.

You are welcome to write treats even if you aren't signed up for the exchange.

Treats will not become main gifts for this exchange.

These will be due on April 5th at 23:59 UTC and must meet the minimum requirements: a complete work of 500 words or a piece of fanart, created entirely by you, at the "nice sketch" stage.
